Productivity Tip 13 Schedule of Quantities

A Schedule of Quantities is a general standard used in the Construction and Landscaping environments but can be readily adopted for use where quick Quotation or Job Order creation is required for standard activities. The objective of a Schedule of Quantities is to:

  • Describe the purpose of the schedule
  • Prepare a description of the work to be carried out
  • Provide a Cost Estimate including plant, labour, materials, and ancillaries
  • Address performance criteria including performance profiles, performance guarantees, special conditions, specifications, etc.

A Schedule of Quantities enables the small to medium enterprise to produce a Job Quotation in a fraction of the time taken to assemble a quotation 'from scratch'. It includes a single quoted price for an overall activity (Examples are: Fitting a Bath, process a Building Consent procedure with Drawings, Approvals, etc). Additionally, it contains a 'Bill of Planned Activities' which could include Labour, Materials, and other miscellaneous activities such as Plant Hire, Clean Up, Travel, Accommodation, etc. The Quoted Price can be based on actual costs derived from previous usage of this Schedule of Quantities or can be evaluated from the current 'Bill of Planned Activities'.

In Ostendo a Schedule of Quantities is known as a 'Task Bill'. This Task Bill allows you to enter the above objectives and planned activities and is selected when creating a Job Order. Ostendo also provides Job Templates that contain multiple Task Bills from which specific Task Bill(s) can be selected. A good example is where the Job Template 'Fit-out a Bathroom' can have (say) 3 Task Bills contained in it (such as Fit a Standard Bath, Fit a Luxury Bath, Fit a Shower Stall). The specific Task Bill can be selected from the Template when constructing the Job or Quotation.

By using Task Bills and/or Templates you can ensure that not only will the Quote or Job contain all the required elements of the included activities, but also ensures that the time taken to create the Quote or Job is dramatically reduced thus saving valuable time and costs.
